Recently, we built a custom HubSpot integration for one of our customers to demonstrate how easily AI Voice can adapt to different workflows. This setup was designed specifically for their HubSpot environment — but within HubSpot, it can be configured in countless other ways to suit each business’s process.

What the Integration Does (At a Glance) 

When a customer call occurs — inbound or outbound — AI Voice communicates directly with HubSpot to capture every detail in real time. 

Here’s the flow we built for our client: 

Step 1: Identify or Create the Contact 

When AI Voice detects a call, it first checks if the caller’s phone number matches any contact in HubSpot. 

  • If found, it links the call to that existing contact. 
  • If not found, it automatically creates a new contact record, ensuring no conversation ever goes unlogged. 

Step 2: Create a Detailed Call Activity 

Next, AI Voice adds a full activity record to HubSpot — all in real time. 
This includes: 

  • Date and time of the call 
  • Disposition (answered, missed, voicemail, etc.) 
  • Outcome (qualified, follow-up required, not interested, etc.) 
  • AI-generated summary and sentiment analysis 
  • Full transcript for reference or compliance 

Step 3: Optional Form Submission 

For this client, we also configured AI Voice to create a HubSpot form submission after each missed or inbound call. 
This helped them feed call data into reporting dashboards and workflows that relied on form-based triggers. 

This step is completely optional — if your setup doesn’t require it, we can skip or replace it with a different action. 

Step 4: Trigger Workflows for Follow-Up 

Once data is synced, HubSpot can trigger follow-up workflows automatically — emails, SMS, task creation, or pipeline updates — based on call outcomes or sentiment.
